HubSpot partner vs freelancer vs in-house
Use a HubSpot Solutions Partner when the project includes a migration, integrations, several teams or a Professional or Enterprise plan, where HubSpot charges a one-time onboarding fee that a Solutions Partner can waive up to a value of $6,000 per client. Use a freelancer for a bounded task with a clear owner on your side. Build in-house to own the portal after go-live, not usually to run the first implementation alone. Many B2B SaaS teams combine the three: a partner builds, an internal admin owns, and outside help covers peaks. Freelancers in freelancermap's 2026 survey charge €103 an hour on average. At Checkpoint GTM, a Berlin-based HubSpot Platinum Partner for Seed to Series B B2B SaaS, a standard Sales Hub and Marketing Hub implementation is a fixed-scope project of €15K–€50K over 6–10 weeks, and support after go-live runs €6K–€25K per month. Our prices are in EUR and exclude VAT.
How do a HubSpot partner, a freelancer and an in-house hire compare?
They solve different problems. A partner brings a team and a method for a project. A freelancer brings one person's time for a defined task. An in-house hire brings ownership that stays when the project ends.
| Aspect | HubSpot Solutions Partner | Freelancer | In-house hire |
|---|---|---|---|
| What you get | Usually a team: a project lead, consultants and technical specialists, working to a written scope | One specialist's time, usually for a defined task or a set number of days | A dedicated admin or RevOps person who owns the portal every day |
| How it is priced | Usually a fixed-scope project, then an optional retainer. With us: €15K–€50K for a standard implementation and €6K–€25K per month after go-live | Usually by the hour or day. €103 an hour on average across all freelancers in freelancermap's survey; €95 median for IT freelancers in the DACH region | A salary plus employer costs, the time it takes to recruit, and a ramp-up before the person is productive |
| HubSpot's onboarding fee | A Solutions Partner can waive it for its clients, up to a value of $6,000 per client | Waivable if the freelancer is in HubSpot's Solutions Partner Program: ask before you buy | Required on Professional and Enterprise plans unless a Solutions Partner waives it (up to $6,000 per client) |
| Holidays and staff changes | Usually covered by the rest of the team | Depend on one person's availability | Depend on one person; knowledge leaves with them unless the setup is documented |
| Breadth | Data model, migration, integrations, reporting and training in one scope | Deep in one specialty; other skills need another hire | Grows with your business, but rarely covers migrations and integrations from day one |
| Best for | A first implementation, a migration from another CRM, or a setup across several hubs and teams | A bounded task: a workflow rebuild, a report, an integration fix or extra hands in a busy quarter | Day-to-day ownership once the portal is built |
| Who owns the outcome | Shared: the partner delivers to a written scope; you own the decisions and the portal after handoff | You: you manage the scope and the person | You |

Should we implement HubSpot ourselves or use a partner?
You can implement HubSpot yourself when all four of these are true:
- No migration. You start fresh or from spreadsheets, not from another CRM.
- One sales motion. One team, one pipeline, one set of permissions.
- Native integrations only. No custom APIs and no second system to merge.
- Someone with time. A person on your team can build, test and document every week.
HubSpot's Starter plan needs no onboarding fee, so a small team can begin there. Bring in a partner when any of the four changes: a migration from Salesforce, Pipedrive or another CRM, a Professional or Enterprise plan, several teams or pipelines, or integrations beyond the native ones. Our HubSpot implementation cost guide shows what each of those adds to the budget.
When is a HubSpot freelancer the right choice?
A freelancer fits a task you can describe in one sentence and check yourself: rebuilding a set of workflows, a reporting dashboard, an integration fix, or extra hands during a busy quarter. You get one experienced person, usually at a lower hourly rate than a firm, and you manage the scope.
The limits come from being one person. A full implementation needs a data model, a migration, integrations, reporting and training, which rarely sit in one head, and a holiday or a new client can pause your project. Before you hire, ask for the person's HubSpot Academy certifications and a reference from a project like yours, and ask whether they are in HubSpot's Solutions Partner Program, which decides whether they can waive HubSpot's onboarding fee.
When should HubSpot be run in-house?
Once the portal is built, someone inside the company should own it: requests from sales and marketing, data quality, new users and reports. That is the strongest case for an in-house HubSpot admin or RevOps hire, and the role grows more valuable as the team grows.
Hiring one person to run the first implementation alone is harder. They need data-model, migration and integration experience on day one, and recruiting takes time before any work starts. If you hire, make the role the owner of the portal after go-live, and decide who documents the build so the knowledge stays when people change jobs.
Can you combine a partner, a freelancer and an in-house team?
Yes, and growing B2B SaaS teams often do. A common pattern: a partner runs the implementation or migration to a written scope and trains an internal owner; the internal owner runs the portal day to day; and a retainer or a freelancer covers peaks and specialist work. That is how we work: every implementation includes an admin handoff with recorded SOPs and a 30-day optimization window after go-live, and most of our clients then move to a retainer, from 10 hours a month up to 30 hours a week.
What should you ask before you hire any of the three?
- Who does the work? The names and HubSpot certifications of the people on your project, not only the firm's logo.
- What is in the written scope? Hubs, objects, pipelines, integrations, how much data and history moves, and what is out of scope.
- Fixed price or hourly? Know the total before you sign, or know the cap.
- Is HubSpot's onboarding fee waived? On Professional and Enterprise, ask a Solutions Partner to waive it so you do not pay twice for setup.
- Who owns the portal after go-live? A named internal owner, documentation and training.

Where does Checkpoint fit, and who are we not right for?
Checkpoint GTM is a Berlin-based HubSpot Platinum Partner with 80+ implementations. We run implementations and migrations as fixed-scope projects, hand the portal to your internal owner, and stay on a retainer if you want us to.
Good fit
- Seed to Series B B2B SaaS teams implementing HubSpot or moving to it from another CRM
- Teams that want an internal owner trained, with the setup documented, by the end of the project
- Companies that want delivery in English, German, Italian, French or Spanish
Not the right fit
- One small task with a clear spec: a freelancer is usually cheaper
- Teams with an experienced HubSpot admin and no migration or integrations: you may not need outside help
- Anyone who wants open-ended hours without a written scope
HubSpot partner, freelancer or in-house: questions, answered
Should we hire a HubSpot partner, a freelancer or do it in-house?
Hire a HubSpot Solutions Partner for a first implementation, a migration from another CRM or a setup across several teams. Hire a freelancer for a bounded task with a clear owner on your side. Build in-house to own the portal after go-live. Many B2B SaaS teams combine them: a partner builds and trains, an internal admin owns, and outside help covers peaks.
Is a HubSpot partner worth it compared to doing it yourself?
It is worth it when the project includes a migration, integrations, several pipelines or teams, or a Professional or Enterprise plan. On those plans HubSpot requires a one-time onboarding fee. It publishes no amount for its unified seat plans; its per-hub catalog lists €1,500 to €7,000 per hub. A Solutions Partner can waive the fee up to a value of $6,000 per client. A small team starting fresh on Starter, with one pipeline and native integrations, can often do it alone.
How much does a HubSpot freelancer cost?
Freelancers usually bill by the hour or day. In freelancermap's Freelancer-Kompass 2026, freelancers charge €103 an hour on average, and IT freelancers in the DACH region have a median of €95. Rates for HubSpot specialists vary with experience and certifications, so compare the total for a written scope, not the hourly rate.
How much does a HubSpot partner cost?
It depends on the scope. With Checkpoint GTM, a standard Sales Hub and Marketing Hub implementation costs €15K–€50K over 6–10 weeks, a CRM migration to HubSpot starts at €15K, and support after go-live runs €6K–€25K per month. Our hourly list rate is €245. Prices are in EUR and exclude VAT.
Can a freelancer waive HubSpot's onboarding fee?
If they are a HubSpot Solutions Partner. Waiving the onboarding fee is a benefit of HubSpot's Solutions Partner Program, up to a value of $6,000 per client, so ask whether the freelancer is in the program before you buy a Professional or Enterprise plan.
When should we hire an in-house HubSpot admin?
When the portal is built and someone needs to own it every day: requests from sales and marketing, data quality, users and reports. Hiring one person to run a first implementation or migration alone is harder, because they need data-model, migration and integration experience from day one.
What is the difference between a HubSpot partner and a HubSpot agency?
A HubSpot partner is a firm in HubSpot's Solutions Partner Program, and many agencies are. The program has tiers from Gold to Elite, earned through results for HubSpot clients. Check a firm's tier and its people's certifications, and ask who will actually do your work.
How long does a HubSpot implementation take with a partner?
With us, a standard Sales Hub and Marketing Hub implementation takes 6–10 weeks from kickoff to launch, and complex implementations with multiple integrations take 12–16 weeks. Every implementation includes a 30-day optimization window after go-live.
