HubSpot for fintech

We configure HubSpot for the way fintech companies sell: merchants, financial products and partners as custom objects, onboarding and KYB in their own pipeline, aggregated volume synced in read-only from your warehouse, and a data-minimal design that keeps payment and account data in your own systems.

Fit

Is HubSpot a good fit for fintech?

Yes. HubSpot runs marketing, sales, onboarding, account management and partner work for fintech companies on one platform, from the first demo to a live, transacting customer. On Enterprise it adds custom objects for merchants and financial products, Sensitive Data properties and data warehouse connections through Data Hub, with EU data hosting in Germany. We keep payment, card and ledger data in your own systems by design.

Many fintech teams we meet started HubSpot for newsletters and demo requests, then added sales and partnerships without a model behind it. Merchants show up as duplicate companies, onboarding runs in spreadsheets next to the CRM, and nobody is sure which properties hold financial details. A deliberate, data-minimal model, set up before the portal grows, fixes all three.

Checkpoint GTM is a HubSpot Platinum Partner based in Berlin. We configure Marketing Hub, Sales Hub, Service Hub, Data Hub and Revenue Hub for fintech companies, connect HubSpot read-only to your warehouse and core systems, migrate from Salesforce and other CRMs, and hand the portal to a named owner.

What we configure

  • Companies, contacts and Enterprise custom objects for merchants, financial products and partners
  • Separate pipelines for new business, onboarding and KYB, and partner deals
  • Aggregated volume and status data synced in read-only with Data Hub, with payment and account data kept out
  • Sensitive Data, single sign-on, audit logs and Breeze agents set up on clean, minimal data

Typical hub mix

  • Smart CRM and Sales Hub for sales and partnerships, Marketing Hub for demand generation, events and consent-based nurture
  • Data Hub for warehouse and core-system sync; Service Hub for onboarding, support and account management
  • Enterprise where you need custom objects, Sensitive Data or warehouse connections, Professional where you do not
Object model

The HubSpot object model we build for fintech

Fintech companies sell to an organisation, but revenue happens in merchant accounts, financial products and partner channels. The object model has to hold all of them without holding payment data. This is where we start, adapted to your product.

  • CompaniesThe customer organisation as the account, with parent and child companies for groups, subsidiaries and entities in other countries that onboard separately.
  • Contacts and buying rolesCFOs, treasurers, finance and accounting leads, IT and security reviewers and procurement as labelled roles, next to the users and accountants who work in the product every day.
  • DealsOne deal per new contract, product addition or partner-sourced opportunity, with pricing, expected volume and the channel it came from: direct, partner, marketplace or self-serve.
  • Custom objects for merchants and financial productsOn Enterprise, custom objects hold merchant accounts and the products a customer has signed up for, such as cards, financing lines or payment methods, associated with companies and deals, with onboarding stage and aggregated monthly volume as fields. Card numbers, account numbers and balances are not part of the model.
  • Partners and channelsBanks, platforms, marketplaces and accounting firms as companies or a custom partner object, linked to the deals and accounts they bring, for partner attribution and commission reporting.
  • Tickets and projectsTickets for onboarding requests, document follow-ups and support, and the projects object to run implementation and integration plans in Gantt and board views.
Pipelines

Pipelines for new business, onboarding and partners

Each motion gets its own pipeline, stage definitions and exit criteria, so a signed contract still waiting for KYB never counts as a live, transacting customer.

01

New business

Discovery to signature for direct deals with finance teams and merchants, with a risk approval and a security and vendor review before the contract.

Discovery · Demo · Risk approval · Security and vendor review · Contract · Won

02

Onboarding and KYB

From signed contract to live account: document collection, compliance review and integration, with status read from your onboarding tool and the first transaction as the exit.

Documents requested · Compliance review · Approved · Integration · First transaction

03

Partner and embedded-finance deals

Deals sourced or co-sold with banks, platforms and marketplaces, with the partner on the record from registration to first volume.

Registered · Qualified · Joint proposal · Contract · Live

Integrations

Integrations we connect to HubSpot for fintech

We connect the systems that hold volume, onboarding and billing data, read-only and aggregated, so the CRM shows what customers actually do without becoming a financial system.

  • Data warehouse connectionOn Enterprise, Data Hub connects data warehouses and storage platforms, so aggregated volume, take rate and revenue tables reach companies and custom objects without a manual export.
  • Core banking and payments platformsOnboarding stage, products in use and aggregated monthly volume per customer from your core banking or payments platform, synced one way into HubSpot through Data Hub or your warehouse. Transactions, balances, account numbers and card data stay at the source.
  • Onboarding and KYB toolsOnboarding stage, document status and risk decision written to the account as read-only fields, so sales and account management see progress without access to identity documents.
  • Billing and invoicing dataInvoices, fees and revenue from your billing system brought into HubSpot as read-only reporting data on companies and custom objects. Billing and collections stay with your billing provider.
  • Datasets for volume reportingData Hub datasets, on Professional and Enterprise and currently in beta, combine HubSpot records with external volume and revenue data for reporting.
  • Salesforce coexistenceWhere a parent company or another business unit runs Salesforce, HubSpot's Salesforce integration syncs contacts, companies, deals, tickets and custom objects both ways, with sync rules per field.
Compliance and data

Security and data settings we configure

Banks, finance teams and your own compliance function will ask how your CRM handles data. These are the HubSpot settings we put in place and document.

  • Data-minimal CRM designWe keep payment, card, ledger and identity data out of HubSpot. HubSpot holds the commercial relationship and the aggregates sales needs; your payment and core systems stay the record for money and accounts.
  • Sensitive Data on EnterpriseOn an Enterprise subscription we enable Sensitive Data and mark properties such as risk-review notes or beneficial-owner names as sensitive, on contacts, companies, deals, tickets and custom objects, so only the people who need them can see them.
  • EU data hosting in GermanyHubSpot hosts accounts in an EU data center in Germany, and paid accounts can change their data center. We pick the region at setup or plan the move for an existing portal.
  • DPA and GDPR toolsHubSpot's DPA includes GDPR terms and EU Standard Contractual Clauses. We set up legal basis on contacts, consent-based limits on marketing email, permanent delete and the data request manager.
  • SSO and audit logsSingle sign-on on Professional and Enterprise, and audit logs of account activity, where Enterprise Super Admins can also see actions taken by HubSpot employees in the account.
  • Security reports for vendor reviewsHubSpot has a confidential SOC 2 Type II report, a public SOC 3 report and its first SOC 1 Type II report, and carries the EU Cloud Code of Conduct Level 2 mark. We add them to the CRM documentation your vendor-risk reviewers ask for.
Breeze AI

Breeze AI agents, set up for fintech

HubSpot's Breeze agents run on HubSpot Credits. We set up the ones that pay off for a fintech team and point them at business data, never at sensitive or financial details.

  • Customer agentAnswers routine product, pricing and onboarding questions from prospects and customers, on Professional and Enterprise, with credits consumed only when it delivers a resolution. Account-specific questions go to your team.
  • Prospecting agentResearches finance teams and merchants showing intent and drafts outreach from CRM, conversation and intent data, in the contact's preferred language.
  • Data agentFills properties such as business model, finance stack or company size from web research, company websites and call transcripts, through smart properties and workflow actions, with sensitive information kept out of its inputs.
  • Agent builderCustom agents for your own processes, for example an onboarding status brief before a kickoff call or a risk review summary for the approver, built with actions that browse the web and read and write CRM records.
Migration

Migrating a fintech CRM to HubSpot

From Salesforce, another CRM, or a founder-built setup of spreadsheets and an onboarding tool. Our migrations follow four steps.

Step 1

Map the model

Inventory every object, property, pipeline and integration, decide how merchants, accounts and partners map to companies and custom objects, and agree which fields stay out of the CRM before a record moves.

Step 2

Clean and minimise

Deduplicate companies and merchants, remove financial and identity details that do not belong in a CRM, and retire fields nobody uses.

Step 3

Move and test

Move the data with HubSpot Smart Transfer or the Salesforce integration, reconnect volume and onboarding syncs, and run a timed dry run on real accounts before cut-over.

Step 4

Cut over and hand over

Sales, partnerships and account management switch on a fixed date, volume dashboards go live, and a trained owner on your side takes over the portal and its documentation.

FAQ

Questions about HubSpot for fintech

Is HubSpot a good fit for fintech?

Yes. HubSpot covers marketing, sales, onboarding, account management and partner work for fintech companies on one platform. Enterprise adds custom objects for merchants and financial products, Sensitive Data properties and data warehouse connections through Data Hub, and accounts can be hosted in HubSpot's EU data center in Germany. We design the portal data-minimal: payment and account data stay in your own systems.

HubSpot vs Salesforce for fintech?

Both run fintech revenue teams well, and we implement both. HubSpot is usually faster to launch and easier for a Seed to Series B team to own, with marketing, sales, service and data sync on one platform and Breeze agents built in. Salesforce suits organisations with deep enterprise customisation and an admin team to run it. Where a parent company or another business unit runs Salesforce, HubSpot's Salesforce integration keeps both in sync.

Where does payment and account data live when we use HubSpot?

In your own payment, ledger and core banking systems. HubSpot holds the commercial relationship: accounts, contacts, deals, onboarding status and aggregated volume. We design the portal so card numbers, account numbers, transactions and identity documents never enter it, which keeps the CRM's role in your vendor-risk reviews simple.

How do you model KYB and onboarding in HubSpot?

With a dedicated onboarding pipeline that starts at signature and ends at the first transaction. Stages cover document collection, compliance review, approval and integration; status comes from your onboarding or KYB tool as read-only fields, and documents stay in that tool. Tickets handle follow-ups, and the projects object runs the implementation plan.

Which HubSpot tier does a fintech company need?

Enterprise if you want custom objects for merchants and financial products, Sensitive Data properties or a direct data warehouse connection, since all three are Enterprise features. Professional covers teams that sync volume through app integrations, and includes single sign-on and the customer agent. We size the hub and seat mix to your process, not the other way round.

Can HubSpot connect to our core banking, payments or warehouse data?

Yes, read-only and aggregated. Data Hub syncs data between apps, and on Enterprise it connects data warehouses and storage platforms, so monthly volume, take rate, products in use and onboarding stage reach companies and custom objects on a schedule. Transaction-level, card and balance data stay at the source.

How long does a HubSpot implementation for a fintech take?

A standard HubSpot build takes 6 to 10 weeks and a complex multi-hub build 12 to 16 weeks. Migrations from another CRM start from €15K, and work usually starts within two weeks of the first call.

What does HubSpot provide for bank and vendor-risk reviews?

HubSpot has a confidential SOC 2 Type II report, a public SOC 3 report and its first SOC 1 Type II report, carries the EU Cloud Code of Conduct Level 2 mark, offers a DPA with GDPR terms and EU Standard Contractual Clauses, and hosts EU accounts in Germany. We document the settings we configure, such as single sign-on, audit logs and Sensitive Data, so your compliance team can answer the questionnaire; the regulatory assessment stays with them.
