Pipedrive to HubSpot migration

Last updated: 2026-10-21 · Reviewed by Noah Charak, Managing Director

Checkpoint GTM, a Berlin-based HubSpot Platinum Partner, moves Seed to Series B B2B SaaS teams from Pipedrive to HubSpot, usually when a sales-focused pipeline tool now has to carry marketing, customer success and board reporting as well. A Pipedrive migration usually fits inside a standard 6–10 week HubSpot implementation; moves with several integrations take 12–16 weeks. Migrations start from €15K, scoped as a fixed project before work starts, and a standard Sales + Marketing Hub implementation runs €15K–€50K. What moves: persons, organizations, deals, pipelines, products, activities and notes, plus rebuilt automations, team training and 30 days of hypercare.

How do Pipedrive objects map to HubSpot?

Pipedrive's core model (people, organizations, deals in stage-based pipelines) is close to HubSpot's. The friction is in what sits around the deal: leads, activity types, products, visibility and the habits your reps have built on them.

Pipedrive to HubSpot object map: what moves cleanly and what needs a design decision
In Pipedrive In HubSpot Moves cleanly? What we do
PersonsContactsYesEmail address is the matching key in HubSpot. Persons with no email, or several, get a matching rule before import.
OrganizationsCompaniesMostlyHubSpot matches companies on domain, and Pipedrive does not require one. We add or match a domain for every organization first, or duplicates appear at import.
Deals, pipelines and stagesDeals, deal pipelines and stagesMostlyOpen deals keep their stage and probability. Won and lost are a deal status in Pipedrive but stages in HubSpot, so closed deals move to Closed won or Closed lost and the stage a deal was lost at is kept in a property. Stage-change history does not carry over.
Leads in the Leads InboxContacts with a lifecycle stage, or HubSpot lead recordsPartlyPipedrive keeps leads outside the deal pipeline. We decide how they are modelled in HubSpot before mapping, based on how your team qualifies.
Activities and custom activity typesTasks, calls and meetingsPartlyCalls, meetings and to-dos move with their dates and owners. Custom activity types collapse into HubSpot's activity types and outcomes.
Products and deal productsProduct library and line itemsMostlyProducts, prices and quantities move with each deal. Discounts and multi-currency deals need a rule before import.
Lost reasonsClosed lost reason on the dealMostlyFree-text reasons get consolidated into a fixed list so closed-lost deals can be reported on and nurtured.
Visibility groups and user permissionsTeams and user permissionsPartlyRebuilt from your current team structure, not copied from Pipedrive settings.
Automations and synced emailWorkflows, sequences and connected inboxesNoAutomations are rebuilt. Reps reconnect their inboxes, and the email history you agree to keep is imported as logged activity.
How we migrate

How does a Pipedrive to HubSpot migration run?

Five phases, the same order every time. Your team keeps selling in Pipedrive until cutover.

  1. Audit

Inventory pipelines, stages, custom fields, activity types, products, automations and integrations, and check which fields reps actually fill in.

  2. Plan

We check HubSpot's automatic company creation setting before go-live, so new contacts don't spawn duplicate companies.

  3. Migrate

Build the portal while Pipedrive stays live, run test imports, and reconcile deals, stage values and associations before the real cutover.

  4. Rebuild

Recreate automations, task queues and views in HubSpot, and add the lifecycle stages, forms and attribution marketing needs.

  5. Launch

Run a timed dry run of one real record from first touch to closed deal, train reps on their daily task routine, then support the first 30 days.

Risks

What goes wrong in Pipedrive to HubSpot migrations?

The data model is the easy part. The risks sit in matching, habits and the marketing layer you are adding.

Organizations without domains

Pipedrive does not need a website on an organization; HubSpot matches companies on domain. Import without fixing that and you get duplicate companies and deals attached to the wrong one.

Reps lose their daily routine

Pipedrive teams run their day from the activity list. If HubSpot tasks, queues and views are not set up to match, reps lose their routine in week one and adoption drops.

Stale-deal alerts disappear

Pipedrive flags deals that sit too long in a stage. There is no one-to-one setting for that in HubSpot, so we rebuild the signal as a workflow or a stale-pipeline report before go-live.

Marketing joins without definitions

A Pipedrive move is often the first time marketing shares the CRM with sales. Without agreed lifecycle stages and source tracking, the two teams report different numbers from the same system.

Where we have done this

For a Berlin VC we brought eight portfolio companies onto a common HubSpot setup. Two of them ran on Pipedrive, one on Attio, two on spreadsheets and three on HubSpot portals that needed rebuilding.

Each company got a standard pipeline, property schema and dashboards. Manual board reporting dropped from 8–15 hours to under one hour per company per month.

FAQ

Pipedrive to HubSpot migration questions

How long does a Pipedrive to HubSpot migration take?

A Pipedrive migration usually fits inside a standard HubSpot implementation of 6–10 weeks from kickoff to launch. If you also connect billing, support or outbound tools, plan for 12–16 weeks. Because the data models are close, most of the time goes into pipelines, activities and the marketing setup you are adding.

How much does a Pipedrive to HubSpot migration cost?

Pipedrive migrations start from €15K. We scope each one as a fixed project before work starts, and a standard Sales + Marketing Hub implementation runs €15K–€50K. Cost depends on the number of pipelines, products and integrations and on how much activity history you keep. All prices excl. VAT.

Do Pipedrive custom fields map to HubSpot properties?

Most do. Text, number, date and option fields have matching HubSpot property types. Fields that point to another person or organization become associations instead. We still run a keep, edit or delete pass first, so fields nobody fills in do not travel.

What happens to Pipedrive leads in HubSpot?

Pipedrive keeps leads in a separate inbox until they become deals. In HubSpot we model them either as contacts with a lifecycle stage or as HubSpot lead records, depending on your Sales Hub edition and how your team qualifies. That decision is made before mapping, not during import.

Can we bring our Pipedrive email history?

Email synced into Pipedrive does not move on its own. Reps connect their inboxes to HubSpot, and we import the email and activity history you agree to keep as logged activity on each record, so nobody has to reopen Pipedrive to find context.

Should we clean up Pipedrive before we migrate?

No, clean up during the migration. The audit is the cleanup: every field, pipeline and automation gets a keep, edit or delete decision, and only the keeps and edits are imported. Cleaning Pipedrive first means doing the same work twice.
