HubSpot for PE‑backed companies
We configure HubSpot for companies that grow by acquisition and report to an investor: add-on portals consolidated or linked, business units modelled for group and unit reporting, Salesforce kept in sync where it stays, and board numbers drawn from HubSpot and your finance data without a monthly export.

Is HubSpot a good fit for PE‑backed companies?
Yes. HubSpot gives a PE-backed company marketing, sales, service, quotes and data sync on one platform that a lean team can run and an add-on can join quickly. Enterprise adds custom objects, multi-account management for groups and data warehouse connections on Data Hub Enterprise, and accounts can be hosted in HubSpot's EU data center in Germany.
Many portfolio companies we meet run several HubSpot portals after a few acquisitions, plus a Salesforce org at one add-on and a spreadsheet that stitches the board pack together. Customers appear once per portal, every brand names its stages differently and nobody owns the whole setup. A deliberate group model, decided before the next add-on arrives, fixes all three.
Checkpoint GTM is a HubSpot Platinum Partner based in Berlin. We configure Marketing Hub, Sales Hub, Service Hub, Data Hub and Revenue Hub for PE-backed companies, consolidate or link add-on portals, connect HubSpot to billing, finance and warehouse data, migrate from Salesforce and other CRMs, and hand the portal to a named owner. Investors and operating partners: our RevOps for private equity page covers portfolio-wide work.
What we configure
- Companies, deals and Enterprise custom objects for business units, acquired entities and subscriptions, reportable for the group and per unit
- Aligned deal pipelines for new business, expansion and renewals, with shared stage definitions across every add-on
- Portal consolidation, or multi-account management where entities keep their own accounts, plus Salesforce sync where it stays
- Data Hub sync with finance, warehouse connections on Data Hub Enterprise, single sign-on, audit logs and Breeze agents on clean data
Typical hub mix
- Smart CRM and Sales Hub for every sales team in the group, Marketing Hub for demand generation across brands and consent-based nurture
- Service Hub for onboarding, support and renewals; Revenue Hub for quotes; Data Hub for billing, finance and warehouse sync
- Enterprise where you need custom objects, multi-account management or Data Hub Enterprise warehouse connections, Professional for single-entity companies
The HubSpot object model we build for PE‑backed companies
A PE-backed company reports twice: as one group to its board and per business unit or acquired brand to the people who run them. The object model has to hold both without duplicate customers. This is where we start, adapted to your group structure.
- CompaniesOne record per customer across the group, with parent and child companies for customer groups and the business units that serve each customer recorded on the account.
- Contacts and buying rolesEconomic buyers, users, procurement and finance contacts as labelled roles, deduplicated across acquired databases, so the same person is not marketed to by three brands.
- DealsOne deal per new business, expansion, cross-sell or renewal opportunity, with business unit, product line, contract value and source, so group pipeline and unit pipeline both report correctly.
- Custom objects for business units and subscriptionsOn Enterprise, custom objects hold acquired entities, business units or subscriptions with their own properties and history, associated with companies and deals, designed within HubSpot's custom object limits.
- Products and line itemsA product library per product line, with line items on deals, so cross-sell between acquired products, average contract value and revenue mix are reported from the deal itself.
- Teams and business unitsTeams for each sales unit and acquired brand, with record ownership and reporting per team, so unit leaders see their numbers and the board sees the group.
Pipelines for new business, expansion and renewals
Shared pipelines with one set of stage definitions across the group, so an add-on's late-stage deal means the same as the platform's and the board forecast adds up.
New business
First meeting to signed contract for every sales team in the group, with exit criteria per stage and the business unit and product line recorded before a deal can move to proposal.
Qualified · Discovery · Solution fit · Proposal · Negotiation · Closed won
Expansion and cross-sell
Deals for upsell and for selling acquired products to existing customers, associated with the customer and the unit that owns the relationship, so cross-sell revenue is visible on its own.
Opportunity spotted · Qualified · Proposal · Signed
Renewals
Renewal deals planned from the contract end date, with the current contract value and an expansion target, so retention is forecast months ahead instead of counted afterwards.
Renewal due · In review · Proposal sent · Renewed, expanded or lost
Integrations we connect to HubSpot for PE‑backed companies
We connect the systems that hold billing, finance and acquired-company data, so HubSpot shows the group's customers and revenue without becoming your ERP or finance system.
- Data warehouse connectionOn Data Hub Enterprise, HubSpot connects data warehouses and storage platforms, so finance, billing and product usage tables reach companies, deals and custom objects for board and cohort reporting.
- Salesforce coexistenceWhere an add-on keeps Salesforce for a period, HubSpot's Salesforce integration syncs contacts, companies, deals, tickets and, on Enterprise, custom objects both ways, with a sync rule for each field.
- Migration with Smart TransferHubSpot Smart Transfer moves records from other CRMs, including Salesforce, in a one-time transfer once the target model is agreed, with custom field mappings on Data Hub.
- Billing and finance syncInvoiced revenue, subscriptions and renewal dates from your billing or accounting system synced into HubSpot through Data Hub, so the revenue bridge and retention numbers match the finance close.
- Datasets for board reportingData Hub datasets, on Professional and Enterprise and currently in beta, combine HubSpot records with external data such as finance actuals, for group and business-unit reporting.
- Quotes on Revenue HubQuotes on Revenue Hub Professional or Enterprise build the price from the deal and a shared product library across product lines, with e-signature, so pricing stays consistent across sales teams.
Security and data settings we configure
Boards, auditors and the next buyer's advisers will ask who can see customer data and how it is controlled. These are the HubSpot settings we put in place and document.
- Audit logs for due diligenceAccount activity history with audit logs, where Enterprise Super Admins can also see actions taken by HubSpot employees in the account, documented next to the portal's data dictionary for audit and due diligence.
- Multi-account management and brandsGroups can link up to 29 additional Professional or Enterprise accounts to an Enterprise main account, with mirrored data, copied assets and multi-account reporting, or run several brands in one account with the Brands add-on on Marketing Hub Enterprise.
- SSO and access controlSingle sign-on on Professional and Enterprise, so people sign in through your company identity provider, and we review HubSpot access as acquired teams are onboarded in waves.
- EU data hosting in GermanyHubSpot hosts accounts in an EU data center in Germany, and paid accounts can change their data center. New accounts are assigned a data center by sign-up location; we confirm it at setup or plan the move when portals are consolidated.
- DPA and GDPR toolsHubSpot's DPA includes GDPR terms and EU Standard Contractual Clauses. We set up legal basis on contacts, consent-based limits on marketing email, permanent delete and the data request manager, including for contact lists inherited from acquisitions.
- Security reports for buyers and auditorsHubSpot has a confidential SOC 2 Type II report, a public SOC 3 report and its first SOC 1 Type II report, and carries the EU Cloud Code of Conduct Level 2 mark. We point auditors and due diligence teams to them, next to the CRM documentation we write.
Breeze AI agents, set up for PE‑backed companies
HubSpot's Breeze agents run on HubSpot Credits. We set up the ones that help a lean team cover more ground and point them at clean, deduplicated data.
- Customer agentAnswers routine product and account questions across your brands, on Professional and Enterprise, with credits consumed only when it delivers a resolution.
- Prospecting agentResearches target accounts showing intent and drafts outreach from CRM, conversation and intent data, in the contact's preferred language, including cross-sell outreach to customers of acquired brands.
- Data agentFills properties such as industry, company size or technology in use from web research, company websites and call transcripts, through smart properties and workflow actions, which speeds up cleaning merged databases.
- Agent builderCustom agents for your own processes, for example a renewal brief before a customer review or a pipeline summary for the weekly forecast call, built with actions that browse the web and read and write CRM records.
Consolidating add-on CRMs into HubSpot
From several HubSpot portals, a Salesforce org at an add-on, or spreadsheets and older CRMs. Our consolidations follow four steps.
Map the group model
Inventory every portal, org, object, property, pipeline, workflow and integration, then decide how brands, business units and acquired entities map to companies, deals, teams and custom objects before a record moves.
Triage and clean
Deduplicate customers and contacts across acquired databases, retire unused properties and workflows, and agree one set of stage definitions with every sales team.
Move and test
Move the data with HubSpot Smart Transfer, imports or the Salesforce integration, reconnect billing and finance syncs, and run a timed dry run on real accounts before cut-over.
Cut over and hand over
Every team switches on a fixed date, group and unit dashboards go live, and a trained owner on your side takes over the portal and its documentation.

Questions about HubSpot for PE‑backed companies
Is HubSpot a good fit for PE-backed companies?
Yes. HubSpot runs marketing, sales, service, quotes and data sync on one platform that a lean team can own and that add-on acquisitions can join quickly. Enterprise adds custom objects, multi-account management for groups and, on Data Hub Enterprise, data warehouse connections for board reporting, and accounts can be hosted in HubSpot's EU data center in Germany. We configure it around your group structure.
HubSpot vs Salesforce for PE-backed companies?
Both run revenue teams in PE-backed companies well, and we implement both. HubSpot is usually faster to launch, quicker to bring add-ons into and easier for a lean team to own, with marketing, sales, service and data sync on one platform and Breeze agents built in. Salesforce suits groups with deep enterprise customisation and an admin team. Where an add-on keeps Salesforce, HubSpot's Salesforce integration keeps both in sync.
Should add-on acquisitions share one HubSpot portal or keep their own?
One portal is the default when the businesses sell to overlapping customers or will share a sales team: we deduplicate customers once and group reporting works in that one portal. Where entities must stay separate, an Enterprise main account can link up to 29 additional Professional or Enterprise accounts with mirrored data and multi-account reporting. We decide this with you per add-on.
How do you consolidate several HubSpot portals into one?
We map every portal's objects, properties, pipelines and workflows to one target model, deduplicate customers and contacts, triage legacy workflows and agree shared stage definitions, then move the data and reconnect integrations with a timed dry run before a fixed cut-over date. For a recent merger we brought two portals and a Salesforce org into one HubSpot that way.
Which HubSpot tier does a PE-backed company need?
Enterprise if you need custom objects for business units or subscriptions, multi-account management for separate entities or a data warehouse connection (Data Hub Enterprise). Professional usually covers a single company with one sales motion, and includes single sign-on and the customer agent; quotes need Revenue Hub Professional or Enterprise. We size the hub and seat mix to your group, not the other way round.
Can HubSpot produce our board reporting?
Yes, for the revenue side. Pipeline, bookings, renewals and retention come from HubSpot; finance actuals and billing data are synced in through Data Hub or combined in datasets, and on Data Hub Enterprise HubSpot connects to your data warehouse. We build the board dashboard from one KPI dictionary, so the pack no longer has to start with an export.
How long does a HubSpot implementation or consolidation take?
A standard HubSpot build takes 6 to 10 weeks and a complex multi-hub build 12 to 16 weeks. Consolidations of several portals or CRMs depend on how far the sales processes differ. Migrations start from €15K, and work usually starts within two weeks of the first call.
How do you make a HubSpot portal ready for an exit?
With documentation and controls a buyer can check: a data dictionary for every property and pipeline, audit logs, single sign-on and clear permissions, deduplicated customer records, and revenue, retention and pipeline reports reconciled with finance that due diligence teams can rerun themselves.
