HubSpot for healthtech and healthcare companies

We configure HubSpot for the way healthtech sells: clinic groups and their sites, payers and employers as accounts, pilots and renewals in their own pipelines, and health-related data handled with HubSpot's Sensitive Data settings and EU data hosting.

Fit

Is HubSpot a good fit for healthtech?

Yes, for the commercial side of a healthtech company. HubSpot runs the sales, marketing, partner and customer success work around clinics, practices, payers, insurers and employers, and on Enterprise it adds Sensitive Data settings for health-related properties and custom objects for sites and contracts, with EU data hosting in Germany. Clinical records stay in your clinical systems, connected where the sales process needs a signal.

Most healthtech teams we meet started HubSpot as a marketing tool, then added sales and service without a data model behind it. Clinic groups and their sites end up as duplicate companies, pilots sit next to contracts in one pipeline, and nobody is sure which properties hold sensitive information. The answer is a deliberate setup, not more seats.

Checkpoint GTM is a HubSpot Platinum Partner based in Berlin. We configure HubSpot across Marketing Hub, Sales Hub, Service Hub, Data Hub and Revenue Hub, migrate from Salesforce and other CRMs, and hand the portal to a named owner on your team.

What we configure

  • Companies, contacts and custom objects for clinic groups, sites and contracts
  • Separate pipelines for direct sales, pilots, employer or payer deals and renewals
  • Sensitive Data on Enterprise, with health-related properties marked sensitive
  • EU data hosting, GDPR legal basis, consent and data request handling from day one

Typical hub mix

  • Sales Hub and Smart CRM for the sales team, Marketing Hub for demand and nurture
  • Service Hub for onboarding, support and renewals; Data Hub for product and warehouse sync
  • Enterprise where you need Sensitive Data or custom objects, Professional where you do not
Object model

The HubSpot object model we build for healthtech

Get the objects right and every report, workflow and integration after them gets simpler. This is the model we start from and adapt to your business.

  • CompaniesClinic groups, hospital operators, payers, insurers and employers as the paying account, with parent and child companies for groups and their locations.
  • Contacts and buying rolesMedical leads, operations, IT, data protection and purchasing as labelled roles, so every deal shows which part of the committee is engaged.
  • DealsOne deal per contract or pilot, with its pipeline, decision date and the motion it belongs to: direct, B2B2C or partner.
  • Custom objects for sites and contractsOn Enterprise, custom objects hold what a healthtech company sells into, such as sites, locations or contracts, associated with companies and deals.
  • Appointments and servicesHubSpot's appointment and service objects, activated by a Super Admin in the data model, for onboarding sessions, demo appointments or service lines.
  • Tickets and projectsTickets for onboarding and support requests, and the projects object for implementation work, with Gantt and board views.
Pipelines

Pipelines for clinic, payer and employer sales

Each motion gets its own pipeline, stage definitions and exit criteria, so one forecast no longer mixes a ward pilot with an insurer contract.

01

Direct sales to clinics and practices

Discovery through committee sign-off, with required buying roles per stage and a data protection review before the contract.

Discovery · Demo · Committee review · Data protection review · Contract · Won

02

Pilots

Pilots tracked with start date, success criteria and decision date, and turned into a contract deal when they succeed.

Scoped · Running · Evaluation · Converted or closed

03

Employer, payer and partner deals

B2B2C contracts where an employer, insurer or partner pays, with activation and renewal run in Service Hub after signature.

Qualified · Proposal · Procurement · Signed · Activation · Renewal

Integrations

Integrations we connect to HubSpot in healthtech

We connect what the revenue team needs and leave clinical systems in charge of clinical data.

  • EHR and EMR connectionsHubSpot Enterprise customers can connect EHR and EMR systems via API or third-party connectors. We design which signals cross over and confirm compatibility with your EHR platform before we build.
  • Epic, for US HIPAA customersFor US teams storing HIPAA-covered data, HubSpot's Epic integration syncs Epic patients to contacts and Epic appointments to the appointments object, one way into HubSpot.
  • Product usage and data warehouseActivation and usage data synced to companies and contracts with Data Hub, which syncs data between apps and, on Enterprise, connects data warehouses.
  • Telephony and messagingCalling tools such as Aircall log calls, SMS and WhatsApp messages to contacts, companies, deals and tickets, for sales and patient-facing support teams.
  • Quotes, e-signature and paymentsQuotes with e-signature in Revenue Hub, and Stripe payment processing for teams selling in Germany and the EU, including SEPA Direct Debit for buyers paying in euros.
  • Salesforce coexistenceWhere a sister company or a large customer runs Salesforce, HubSpot's Salesforce integration syncs contacts, companies, deals and tickets both ways, with sync rules per field.
Compliance and data

Compliance and data handling we configure

Health-related data needs a deliberate setup. These are the HubSpot settings we put in place and document for your data protection officer.

  • Sensitive Data on EnterpriseWe enable Sensitive Data on an Enterprise subscription and mark health-related properties as sensitive. HubSpot's Sensitive Data tier covers health data of individuals subject to GDPR, on contacts, companies, deals, tickets and custom objects.
  • HIPAA setup for US teamsFor US covered entities and business associates, HubSpot signs a Business Associate Agreement with qualifying Enterprise customers. We configure the account settings that go with it.
  • EU data hosting in GermanyHubSpot hosts accounts in an EU data center in Germany, and paid accounts can change their data center. We choose it at the start or plan the move for an existing portal.
  • GDPR toolsLegal basis for processing on every contact, consent-based limits on marketing email, permanent delete, and the data request manager for deletion and export requests.
  • Access, SSO and audit logsSingle sign-on on Professional and Enterprise and audit logs of account activity for your security reviews.
  • Security reports and AI data useHubSpot publishes a SOC 2 Type II report, a public SOC 3 report, an independent HIPAA attestation and the EU Cloud Code of Conduct Level 2 mark. Its AI providers are not permitted to train on your data, and sensitive properties are not used to train Breeze models.
Breeze AI

Breeze AI agents, set up for healthtech teams

HubSpot's Breeze agents run on HubSpot Credits. We set up the ones that save your team time and point them at the right data.

  • Customer agentAnswers routine questions from practices, employers and partners, on Professional and Enterprise, with credits consumed only when it delivers a resolution.
  • Prospecting agentResearches target clinics, payers and employers and drafts outreach from CRM, conversation and intent data, in the contact's preferred language.
  • Data agentFills properties such as clinic group size or specialty from web research, company websites and call transcripts, through smart properties and workflow actions.
  • Agent builderCustom agents for your own processes, for example a committee briefing before a clinic meeting, built with actions that read and write CRM records.
Migration

Migrating a healthtech CRM to HubSpot

From Salesforce, another CRM or a portal that grew without a plan. Our migrations follow the same four steps.

Step 1

Map and decide

Inventory every object, property, pipeline and workflow, mark what holds sensitive data, and agree the target model before a record moves.

Step 2

Clean and minimise

Deduplicate accounts and sites, retire fields nobody uses, and leave out health-related data the sales process does not need.

Step 3

Migrate and rehearse

Move the data with HubSpot's migration tools or the Salesforce integration, test on real deals and run a timed dry run before cut-over.

Step 4

Go live and hand over

Every team on HubSpot on a fixed date, dashboards switched on, documentation in the portal and a trained owner on your side.

FAQ

Questions about HubSpot for healthtech

Is HubSpot a good fit for healthtech?

Yes, for the commercial side: sales, marketing, partner and customer success work around clinics, payers, insurers and employers. On Enterprise, HubSpot adds Sensitive Data settings for health-related properties and custom objects for sites and contracts, and EU data hosting in Germany is available. Clinical records stay in your clinical systems.

Can HubSpot store health data under GDPR?

HubSpot's Sensitive Data feature, available on Enterprise, covers health data of individuals subject to GDPR. HubSpot provides a data processing agreement with GDPR terms and EU Standard Contractual Clauses, an EU data center in Germany, and GDPR tools for legal basis, consent and data requests. We configure these and document the setup for your data protection officer.

Does HubSpot support HIPAA?

For US covered entities and business associates, HubSpot signs a Business Associate Agreement with qualifying Enterprise customers, and protected health information falls under its Highly Sensitive data tier once you accept those terms in your account settings. HubSpot's Trust Center lists an independent HIPAA attestation.

HubSpot or Salesforce for healthtech?

Both run healthtech revenue teams well, and we implement both. HubSpot is usually faster to set up and easier for a Seed to Series B team to own, with marketing, sales and service on one platform. Salesforce suits organisations with deep enterprise customisation and an admin team to run it. If a sister company or a large customer runs Salesforce, HubSpot's Salesforce integration keeps both in sync.

Which HubSpot tier does a healthtech company need?

Enterprise if you want Sensitive Data or custom objects, since both require an Enterprise subscription. Professional covers teams that keep health-related data out of the CRM entirely, and includes features such as single sign-on. We size the hub and seat mix to what your process needs.

Can HubSpot connect to our EHR or practice-management system?

HubSpot Enterprise customers can connect EHR and EMR systems via API or third-party connectors, and US HIPAA customers can use HubSpot's Epic integration. We design the connection so the CRM receives only the signals sales and customer success need, and confirm compatibility with your platform before we build.

How long does a HubSpot implementation for healthtech take?

A standard HubSpot build takes 6 to 10 weeks and a complex multi-hub build 12 to 16 weeks. Migrations from another CRM start from €15K. Work usually starts within two weeks of the first call.

Can we use Breeze AI agents with health-related data in HubSpot?

Yes, with a deliberate setup. HubSpot does not permit its AI providers to train on customer data, and sensitive properties are not used to train Breeze models. We point the customer, prospecting and data agents at the business data they need and keep sensitive details out of their inputs, as HubSpot's own data agent guidance recommends.
